Minutes for Southron Gaard Council Meeting July 8 2003 Present: Vitale, Arabela, Geoffrey, Duncan, Bob, Belle, Brendan, Sinech Richard, Donna, Jenni, Madelein, Angus, Josie, (Unsure as I don't have the sign in sheet) Apologies: Al, Simone and Madeline (late) B&B: Did Baronial event (Lochac change over) organised accomodation for the royals, negotiated Lochac awards (converting some Caidan recommendations to Lochac awards). Talked to King and Queen about proposed charter changes, went to Ildhafn, presented them with the Barony's gift and the gift from the children of Southron Gaard - Used donated funds to buy the King and Queen a gift which was presented to them in Ildhafn. Seneschal: Followed up some stuff with the webwright position. Followed up discussion from previous council about CF bid. Discussion about baronial confidence poll and what was done with the 'comments' type returns. Making sure that they get/got to someone useful. Arranged for B&B to sit in for me at Bloth seneschals meeting. Sent column and an add for baronial marshal. Received application for Baronial marshal (before FTT even came out!) Note that we REALLY need to find a baronial marshal. Discussion about the proposed bid for 12th Night in Southron Gaard right after new years. The proposed date would be precluded by kingdom law as it is directly opposite kingdom 12th night. Dropped a note to P&P and asked for dispensation. Was granted (now turns out we don't need it as date has shifted, but usefull exercise nonetheless). Discussion about whether kingdom law should be altered to allow clashes with kingdom events, if they are sufficiently far away. No real concensus - sticking with status quo. If you want to clash, need to ask permission from whoever will be K&Q at the time. * Got an agreement from Maggie that she will pass on her 20% discount on our baronial tent purchase. But she does ask that we leave it until she processes her next order - should be in the next couple of weeks. Need to finalise our order. (order discussed in council - 13o 2 Sunforger w/retardant 9'X15' rectangular in red with Square dags and yellow edging - 7'walls.) *Note from Herald about group herald title. Note that all event notices for Pegasus need to be signed off by group seneschal (ie me) Used to specify that B&B are also OK. This is not correct. Seneschal only. * Sent out minutes (thanks Eleanora for writing them and Duncan for typing them) Discussion about the status of my current seneschal's warrant. Kingdom seneschal required copy of signed warrant from Caid about my reknewing in Feb. Caid are digging that up for me and sending it off. I am getting sent a few extra copies of Pegasus to hand out to whomever might benefit from them. Note that seneschals reports are due at the end of May, August,November and February. If they are late will get suspended immediately. Also Financial reports are due in at the end of July. If not in by then get a stern warning and until the end of August. After that an even sterner warning and a third date. If that is missed the group is suspended for one year! * I'll be out of the country for the next council meeting, so I need someone to run the next meeting, look after the key and make sure the minutes for this meeting get sent out. TRMs *Lochac have some issues with our current process for baronial confidence polls. See attached letter. This letter is to be posted for the populace. * Incorporation progressing - initial information should be out to the populace by July. Churgeon - No report Chatelaine - went to event. Did a demo at Russely school - it went well. Herald- OP to go to webwright. Heraldic title to pass to Southron Gaard. A&S- Report to come Constable - In Scotland, nothing to report Marshall - To be filled Lists - went to event, delegated role. Exchequer - $6108.37 - in the main account total minus uncleared cheques = $5731.93 cheque made out to Phil to cover college feast. July report is due - needs to know what is required. Quarter master- went to royal event Chronicler - Published FTT - deputy Kingdom Chronicler needed. Crescents (Pages officer) - Boffer tourney held at royal event. Thinking of planning another children's / family event - possibly Bealtaine. Events Royal Visit / Yule - Feast and event had a $174 deficit - asking for donations for the site cost proved unsuccessful, too many people did not make the required donation to break even. Bealtaine - Elizabetta keen to bid Christmas Revel - Ros and Vicky are looking to bid 12th Night - Rimu Park booked - more detail to follow at next council meeting (Eleonora's bid) Canterbury Faire - some concern raised about limited numbers to attend feast - Rowena reassured council that numbers will be provisional.
